What we ask for and why

  • What you enter in this form: your email, full name, institution, enrollment year, grade, age, WhatsApp number, your chosen session, and why you want to join. We also record when you registered, when you agreed and the version of the privacy notice, and your display language. If you are under 18, we record your tick that your parent or guardian agreed (only yes or no, nothing else about them).

  • Used to record your registration, to organise the participants of each session, and to write the event report for the committee. Also used to contact you on WhatsApp (a third-party service) if there is something important about your session, such as a schedule change.

  • Only appointed GIK UGM committee members can see it. The hosting and database providers also process the data, but only to run this service, on the committee’s instructions. The data is not sold and not used for advertising.

  • Kept until the event is over and its report is written, then deleted no later than 6 months after the event day (automatic backups at the database provider follow the provider’s own retention). An unsent draft of your answers stays only in this browser tab and never reaches the server. It only comes back if you return within 30 minutes, and it is gone once you send the registration or close the tab.

  • You can ask for a copy, a correction or the deletion of your data, and withdraw your consent. The privacy notice (opens in a new tab) explains how.

  • If you are under 18, your parent or guardian has to agree before you register, so that your data may be used (Indonesia’s Personal Data Protection Law, UU PDP).
